SENDING SECURE DOCUMENTS VIA DOD SAFE

Transmission of PII – This is my biggest crusade.  You as FCs have access to some of the most important PII on applicants in your hand.  Don’t take for granted your responsibility to protect that information.  If you were requesting to join an organization, we would hope that someone was there looking out for your wellbeing to ensure your PII was always safe.   We continue to ask that you make every effort not to send consolidated PII (SSNs, photos, date of birth, mother's and father's names, home address, etc.) via email.  We have the DOD Safe drop option for those of you that don’t want to wait for items to eventually make their way through USPS.  See DOD safe information paper and training slides attached.  Read the box attached at the end of my signature block if you ever have a question about what constitutes PII.  Send all ID card request using the double email process.  Send request in one email and photo in another.  If you’re using HESK, this is not required.  Attached both documents to the request in HESK.
